Prateek N Kumar, Founder & CEO of NeoNiche, said the project demanded quick alignment & constant adaptation as the team delivered 12 cycle meetings & a Confluence Strategy Meet for more than 1500 industry leaders at Hyatt Regency Gurugram.

NeoNiche has detailed how its first assignment for a pharmaceutical client expanded into a three-day engagement involving 14 events, including 12 cycle meetings and a flagship Confluence Strategy Meet at Hyatt Regency Gurugram.

What began as a single engagement grew in scale as the brief evolved, new stakeholders came in, and multiple business units worked in parallel with different priorities and expectations. The pace of execution became one of the central challenges, with limited time for resets and constant adjustments required across teams.

The company said the project demanded a shift in approach from trying to control every element to staying solution oriented and responsive. Changes in the brief were treated as moments for quick realignment, with communication and faster decision making becoming central to delivery.

For the NeoNiche team, this meant content, design, and on ground execution had to move in sync. Any change in one area needed to be reflected immediately across the rest of the experience so that the overall flow remained intact across all events.

Each cycle meeting was designed to feel complete on its own while remaining connected to a larger narrative. The Confluence Strategy Meet served as the flagship event, bringing the wider experience together in terms of both scale and execution.

The live experience was supported by emcees Mitin Upadhyay and Monica Muthy, who carried the energy across sessions. Col Rajeev Bharvan added reflective perspectives, while the Hormuz Khambata Dance Company contributed to the overall atmosphere of the event.

Behind the scenes, the delivery involved coordination across multiple teams, setup management, and last-minute adjustments, all under tight timelines. NeoNiche said flexibility became essential as plans continued to shift during execution.

Prateek N Kumar, Founder & CEO, NeoNiche, said, “Projects like these don’t go as planned, and that’s exactly the point. What matters is how quickly you align, adapt, and keep moving without losing sight of the experience you’re creating.”

The company said the assignment helped define expectations for future work while also testing internal processes and the team’s ability to adapt under pressure. It described the project as one that not only concluded with the final session, but also left a lasting impact on how the team approaches large scale delivery.
